Key Responsibilities: Patient Reception: Greet patients and visitors with a warm and welcoming demeanor.
Ensure a positive and professional impression of the dental practice.
Appointment Scheduling: Efficiently manage the appointment schedule, coordinating with patients to find suitable appointment times.
Confirm upcoming appointments and make follow-up calls as necessary.
Check-In and Check-Out: Collect patient information, update records, and verify insurance details during the check-in process.
Collect co-payments and payments for services rendered during check-out.
Phone and Email Communication: Answer phone calls promptly and professionally, addressing patient inquiries, scheduling appointments, and providing information about dental services.
Respond to emails and voicemails in a timely manner.
Insurance Verification: Verify patient insurance coverage, obtain pre-authorization for specific treatments when required, and explain insurance benefits to patients.
Patient Records Management: Maintain accurate and up-to-date patient records, including personal information, medical history, and treatment plans, ensuring compliance with privacy regulations.
Administrative Support: Assist with administrative tasks such as filing, data entry, and record-keeping.
Prepare and process patient forms, consent documents, and treatment plans.
Billing and Financial Processing: Prepare and submit insurance claims, process payments, and provide patients with accurate billing information.
Address billing inquiries and resolve any discrepancies.
Office Organization: Keep the front office area clean, organized, and welcoming.
Maintain a tidy reception area and ensure that reading materials and information are readily available for patients.
Team Collaboration: Collaborate with dental assistants, hygienists, and dentists to ensure smooth patient flow and effective communication within the practice.
Qualifications and Skills: High school diploma or equivalent; some college coursework preferred.
Prior experience as a receptionist, preferably in a dental or medical office setting.
Proficient computer skills, including knowledge of dental software and Microsoft Office Suite.
Excellent verbal and written communication skills.
Strong interpersonal skills and the ability to provide exceptional customer service.
Detail-oriented with strong organizational and multitasking abilities.
Knowledge of dental terminology, procedures, and insurance processes is a plus.
