Overview:
Executive Administrator/Project Coordinator (ATG-2023-19720):
Bowhead seeks an Executive Administrator/Project Coordinator to join our team in providing executive and program management support in a broad range of services to the Advanced Technology Group in King George, VA.
Responsibilities:
The Executive Administrator/Project Coordinator handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people.
Manages all procurement actions for the Advanced Technology group.
Coordinates incoming and outgoing shipments.
Provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public.
Being an Executive Assistant/Project Coordinator conducts research and information gathering on behalf of the executive and prepares summaries and reports.
Manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements.
In addition, Executive Assistant/Project Coordinator develops positive and strategic relationships at all levels of the organization.
Uses discretion, judgement, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality.
May be responsible for directing and deploying support staff or other resources.
Job duties include but are not limited to:
Manage all Advanced Technology procurement actions for infrastructure, supplies and ODCs using Costpoint
Coordinate deliveries from vendors and shipments to customers
Maintain procurement tracking system to provide status of all requisitions
Maintain warehouse tracking system to provide status of all inventory
Support development, review, and maintaining of standard operating procedures (SOPs), process documents and memos, instructions, letters, presentations, and other technical documents
Schedule live and/or electronic meetings
Execute program-wide off-site engagements, to include appropriate logistics, agenda development, and provide facilitation
Secure and equip meeting spaces to provide a comfortable, distraction free environment for events/meetings
Document the progress of initiatives and activities
Perform other duties as assigned
Qualifications:
The place of performance will be at Bowhead facilities in King George, VA.
Mastery of MS Office products (Outlook, Excel, Word, and Teams) and Adobe Acrobat
Experience with SharePoint and MS Access
Experience working in an office environment with vendors, customers, industrial workers, professional staff, and executives
Strong organizational skills with calendars, paper and virtual files, and physical assets
Ability to multi-task, manage priorities and work independently with little direction.
Experience with Deltek timekeeping and CostPoint
Ability to communicate effectively with all levels of employees and outside contacts.
Strong interpersonal skills and good judgment with the ability to work alone or as part of a team.
Physical Demands:
Must be able to lift up to 35 pounds
Must be able to stand and walk for prolonged amounts of time
Must be able to twist, bend and squat periodically
SECURITY CLEARANCE REQUIREMENTS: Must be able to obtain security clearance at the Secret level.
US Citizenship is a requirement for Secret clearance at this location.
