Job Summary
Responsible for performing a variety of administrative and clerical duties for Finance and Environmental services departments.
Serves as back-up to the Accounts Payable Specialist.

Serves as back-up to the Accounts Payable Specialist.
ESSENTIAL JOB FUNCTIONS Performs reception functions a.
Greets customers, responds to routine questions, and directs to the appropriate person or department b.
Answers telephones, directs callers to appropriate person or department and relays messages c.
Distributes forms/documentation as requested Keys Accounts receivable data for Environmental Services Department a.
Set-up new landfill and water and sewer customers b.
Uploads and enters monthly landfill billing into appropriate system c.
Reconciles and processes landfill billing d.
Print and mail landfill billing to customers e.
Makes collections calls to late customers to ensure payment is made f.
Works closely with the Treasurer’s office on collection of landfill payments g.
Abates landfill charges when instructed Processes purchase orders a.
Prints and distributes purchase orders b.
Liquidates open purchase orders as needed c.
Assist procurement department in requisition training and following the Culpeper County Purchasing Resolution Prepares and keys Accounts Payable for Environmental Services Prints and/or mails monthly Water/Sewer billing Maintains the board room and conference room calendar Assist other departmental personnel with various tasks; serves as back-up for Account Payable and Payroll functions NON-ESSENTIAL JOB FUNCTIONS Perform general/clerical tasks Distributes various documents to departments Assist Accounting Manager with fixed assets and budget document preparation Assembling budget books for meetings Provides assistance to other employees or departments as needed Performs other duties as required Qualifications Education and Experience: Education equivalent to a high school diploma.
Previous experience/training in clerical, reception, or data entry work is preferred but not required.
Special Qualifications: Must possess satisfactory results of a criminal history background check.
In-house training to provide as back-up to Account Payable for multiple departments.
Knowledge, Skills, and Abilities: Knowledge of general office practices Ability to operate a computer; proficiency in various software including Word, Outlook, and Excel Ability to effectively communicate with customers and co-workers Ability to provide the highest level of customer service Excellent interpersonal skills and ability to work in a team environment Ability to follow directions Ability to operate various office equipment such as fax, phone, etc.
Working Conditions & Disclaimer PHYSICAL DEMANDS This position classifies the physical exertion requirements as moderate.
Must be able to lift 12-20 pounds.
Must be able to operate office and computer equipment.
May involve extended periods of time at keyboards or workstation.
Must be able to communicate orally and perceive and discriminate colors or shades of color.
WORK ENVIRONMENT Essential functions are regularly performed in an office setting.
Essential functions are regularly performed without exposure to adverse environmental conditions.
