Our professional community management company has an immediate opening for an Administrative Specialist.
This position is primarily responsible for initiating, coordinating, and executing administrative support to all office associates.
*Job Responsibilities:*
* Answers and screens telephone calls in a professional and timely manner, transfers calls to all office associates and takes accurate messages
* Exercises considerable judgment and discretion in handling requests for appointments and telephone calls
* Retrieves postal mail daily, which will be conducted daily to an offsite location
* Distributes daily internal/external mail and overnight packages; sends, and distributes faxes
* Composes, types, and distributes professional correspondence and memoranda, e-mails and faxes
* Coordinates calendars and schedules appointments
* Meets and greets visitors
* Conducts research; compiles and types statistical reports
* Coordinates meetings including but not limited to preparing agendas, meeting materials, reserving and preparing facilities and recording and transcribing meeting minutes
* Receives orders, maintains, and tracks inventory of shipments
* Assists in development and implementation of departmental systems and procedures as needed
* Performs general clerical duties including, but not limited to, filing, photo-copying, faxing, and mailing
* Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
* Assists with special projects as assigned
* Supports all departments and office associates as needed
*Education and Experience:*
* High School Diploma or equivalent required
* Minimum of one to three months related or relevant work experience required
* Must submit to background and credit check prior to employment
*Abilities and Skills:*
* Strong attention to detail and accuracy
* Ability to multi-task
* Provide exceptional customer service
* Advanced computer skills and ability to quickly grasp new software
* Ability to do data mining online
* Must be a team player
*Job Requirements:*
* Must possess a valid Driver’s License
* Vehicle is required for this position
