Germanna Community College is seeking a full-time Executive Administrative Assistant to support the Office of Health Sciences.
The successful candidate will provide general administrative support for the Associate Vice President of Health Sciences and the Office of Health Sciences as designated, which include the duties noted below but are not limited to providing general administrative support for the division, communication with internal and external stakeholders, student and faculty record management, scheduling, purchasing, and support with accreditation activities and other division and college-related events.
This individual is required to work independently and as a team member, have excellent interpersonal skills, current advanced-level computer skills, accuracy and attention to detail, accurate math skills to analyze reports, and to learn new duties; to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Working knowledge of all instructional programs, policies, and operations.
Skill in use of Google Forms, Office 365, PeopleSoft, and financial systems.
Major Duties and Responsibilities: Schedules appointments and coordinates meetings or events.
Purchasing, budget and grant tracking.
Performs general office tasks, to include filing and ordering supplies.
Makes travel arrangements including submitting travel vouchers.
Screens phone calls and routes callers to the appropriate party; greets and assists visitors.
Generates reports, takes minutes from meetings, creates presentations, and collects data.
Maintains polite and professional communication in person, via phone, and e-mail.
Schedules student courses with the assistance of department chairs and associate deans.
Maintains division specific webpages.
Assists with admissions process.
Report & upload workforce documentation after completion of certification exams.
Process contributions and produce/mail thank you correspondence.
Event support and production assistance for special events.
Perform other duties as assigned.

KSA's/Required Qualifications A minimum of three years’ experience providing administrative support for senior or executive level management.
Extensive knowledge of word processing, spreadsheet and presentation software packages.
Experience managing and maintaining office budgets.
Must have current computer application skills including proficiency in Microsoft Office applications.
Willingness to participate in additional training to keep computer skills current.
Excellent interpersonal, organizational, and communication skills (both oral and written).
Excellent problem-solving skills and an ability to learn new systems.
Flexibility to work at different locations as needed.
Ability to manage multiple priorities at once and comfortable supporting a face-paced work environment.
Experience with or willingness to learn artificial intelligence tools.
